Privacy Policy — CSPB Messenger Chatbot
This Privacy Policy describes how Colegio de San Pascual Baylon ("CSPB", "we", "us", or "our") collects, uses, and protects information when you interact with the official CSPB chatbot on Facebook Messenger ("the Service"). By messaging the CSPB Obando Facebook Page, you agree to the collection and use of information in accordance with this policy.
1. Information We Collect
When you send a message to the CSPB Messenger chatbot, we receive the following information from Meta Platforms, Inc.:
- Your Facebook-Scoped User ID (PSID) — a numeric identifier that allows us to send replies back to you within Messenger. The PSID is unique to our Facebook Page and cannot be used to identify you outside of Messenger.
- The content of the messages you send to the page, including any text, attachments, or media you provide.
- Timestamps of when messages are sent.
We do not collect or have access to your full Facebook profile, email address, phone number, friends list, or any other personal information from your Facebook account. We do not collect your real name unless you voluntarily provide it in a message.
2. How We Use Your Information
We use the information collected solely to:
- Generate and send automated replies to your messages, including by passing the text of your message to a third-party large language model (Anthropic's Claude API) to produce contextually relevant responses.
- Maintain transient logs of message exchanges for the purpose of debugging, improving the chatbot, and ensuring service quality.
- Comply with applicable laws and respond to lawful requests from public authorities.
3. Third-Party Services
The CSPB Messenger chatbot uses the following third-party services to function:
- Meta Platforms, Inc. (Facebook Messenger Platform) — for receiving and sending messages. Meta's privacy practices are governed by the Meta Privacy Policy.
- Anthropic, PBC (Claude API) — to generate replies. The text content of your messages is sent to Anthropic for processing. Anthropic does not use this data to train its models when accessed via API. See the Anthropic Privacy Policy.
- n8n GmbH (n8n Cloud) — for workflow orchestration. Messages pass through n8n's infrastructure during processing. See the n8n Privacy Policy.
4. Data Retention
- Message content is retained in our processing logs for up to 30 days for debugging and quality purposes, after which it is automatically deleted.
- Your PSID is retained only for the duration required to process and reply to your message. We do not maintain a persistent database of users.
5. Your Rights
You have the right to:
- Request access to any information we hold about you.
- Request deletion of any information we hold about you (see Section 6).
- Stop interacting with the chatbot at any time by simply not sending further messages. You can also block the CSPB Page in Messenger to prevent any further communication.
6. Data Deletion
To request deletion of any data the chatbot has collected about you, see our Data Deletion Instructions page or email us at info@cspb.edu.ph with the subject line "Chatbot Data Deletion Request" and include your Facebook profile name. We will process your request within 30 days and confirm via Messenger or email.
7. Children's Privacy
The CSPB chatbot is intended primarily for prospective and current students of the school and their parents/guardians. We do not knowingly collect information from children under the age of 13 without parental consent. If you believe a minor has used the chatbot without consent, please contact us at info@cspb.edu.ph and we will delete the relevant data.
8. Security
We take reasonable technical and organizational measures to protect the information we process, including encrypted transmission (HTTPS) and access controls on our backend systems. However, no method of electronic transmission or storage is 100% secure.
9. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. We encourage you to review this policy periodically.
